We quote per event instead of per piece, because the honest inputs vary too much for a flat sticker. Here is exactly what moves the number.
Five things that move your quote.
Design density
Two initials are a few thousand stitches and a few minutes. A detailed logo can hit fifteen thousand-plus. Denser art means more thread, more machine time, and fewer pieces per hour.
Line throughput
A 400-guest launch needs more embroidery heads and operators than an intimate 60-person dinner. We size the station so wait times stay in single-digit minutes.
Time on site
Staffing spans setup, live operation, and teardown. A four-hour cocktail hour and a full eight-hour trade-show day price very differently.
Who supplies the goods
Bringing your own robes or caps keeps that off our line item. If we source Richardson 112s, Flexfits, or terry robes, blank cost and count roll in.
Where you are
Southern California is home turf. A $900 travel fee applies beyond OC, LA, and San Diego; Las Vegas and nationwide programs are quoted on load-in and lead time.
Logo prep
A new logo needs a one-time digitizing pass to convert art into a clean stitch file. Simple marks are quick; intricate ones take longer to punch and test.

Why is there no fixed per-piece price?
Because a two-initial monogram and a fifteen-thousand-stitch logo are not the same job. Your quote is driven by stitch count, how many heads we staff, event hours, blank sourcing, and travel — a flat sticker would either overcharge the simple jobs or lose money on the dense ones.
What does staffing cost?
Trained embroidery operators run $250 per hour, and that window includes setup, live stitching, and teardown. More heads on a big crowd means more operators; a small gifting suite may need only one.
Is there a travel fee?
Local events in Orange County, Los Angeles, and San Diego carry no travel fee. Events outside that radius add a $900 travel fee, with Las Vegas and farther programs quoted on lead time and load-in.
